Kloudgentic B.V. is a company registered with the Dutch Chamber of Commerce, based in Hilversum, The Netherlands. We operate the website kloudgentic.com and provide AI Product Studio and IT consulting services.

What Data We Collect
We collect only what is necessary to operate our services and respond to your inquiries.
Personal data you provide directly:
- Name and email address (via contact forms and intake forms)
- Company name and role (if provided)
- Form submissions including project details, technical requirements, and business context
- Session feedback you submit after an advisory call (ratings, an optional comment, and — only if you choose to be attributed — your name, company, and role)
- Answers to our AI and Data Compliance Readiness Check, and, if you choose to provide them, your email and company name and your consent to receive the results report
- Any information you share during consultations or engagements
Data collected automatically:
- Basic analytics data (pages visited, referral source, device type)
- IP address (anonymized where possible)
- Browser type and operating system
Website Analytics: We use a self-hosted instance of Umami Analytics and Vercel Speed Insights. These tools do not use cookies, do not collect personal data, and do not track users across sites. All data is aggregated, anonymous, and stored on our own infrastructure within the EU. No consent is required under GDPR for cookieless analytics.
Why We Collect It
We process your personal data for the following purposes:
- To respond to your inquiries and contact form submissions
- To deliver the services you have engaged us for
- To improve our website and user experience
- To send relevant communications about your engagement
- To email you the results of your AI and Data Compliance Readiness Check, if you asked for them, and to follow up with you about them once
- To comply with legal and regulatory obligations
Publishing Your Feedback
If you submit feedback after a session with us, we store your ratings and any comment you choose to write. We will only publish your feedback — and any name, company, or role you provide — in line with the attribution choice you select on the feedback form: publish anonymously, use your first name and company, or use your full name, company, and role.
Any email address you provide on the feedback form is used only to follow up with you. It is never published and is never shown alongside your feedback.
You can withdraw your consent to publication at any time by emailing hello@kloudgentic.com, and we will remove or anonymise the published feedback.
Legal Basis for Processing
Under the General Data Protection Regulation (GDPR), we process your data based on the following legal grounds:
Consent: When you submit a contact or intake form, you consent to us processing the data you provide.
Legitimate interest: We may process basic analytics data to improve our website and services, where this does not override your rights.
Contract: When you engage our services, we process data necessary to fulfill our contractual obligations.
How Long We Store Data
We retain your data only as long as necessary for the purpose it was collected, and we run an automated weekly retention job that anonymises or deletes records once their period expires.
- Contact form submissions: anonymised after 2 years.
- Intake form data (new idea, existing product, ongoing support) and consultation requests: anonymised after 3 years.
- Demo and readiness-score sessions without an email: deleted after 1 year. With an email: anonymised after 1 year.
- AI and Data Compliance Readiness Check results without an email: deleted after 12 months. With an email: anonymised after 24 months, or sooner if you ask us to delete them.
- Session feedback: any follow-up email is cleared after 2 years, and feedback that was not approved for publication is anonymised after 2 years. Feedback you consented to publish may remain published with your chosen attribution until you ask us to remove it.
- Newsletter subscribers: anonymised 2 years after the subscription record was created (separate from unsubscribe, which takes effect immediately).
- Cookie-consent records: IP address and user-agent cleared after 1 year; the consent decision itself is kept as long as required to evidence compliance.
- Analytics data: maximum 26 months.
- Payment and contractual records: 7 years, as required by Dutch tax law (Article 52 AWR).
- Audit logs: 7 years.
You can request earlier deletion at any time via /gdpr/request or by emailing hello@kloudgentic.com.
Third Parties
We share your data only with the following categories of service providers, and only to the extent necessary:
- Hosting: Vercel (website hosting and deployment)
- Email: Processed via Google Workspace for responding to inquiries and engagement communications
- Payment processing: For invoicing and payment collection
We do not sell your data. We do not share your data with third parties for marketing purposes. All service providers are bound by data processing agreements compliant with GDPR.
Exali AG Liability Seal
1. Description and scope of data processing
This page uses the Exali AG Liability Seal. The graphic element of the seal is reloaded from the servers of Exali AG. For this purpose, due to the technical design of the Internet, your IP address is processed in order to transmit the graphic to your browser.

The data processing serves the purpose of providing evidence of the legally prescribed mandatory information on professional indemnity as per Section 2 (11) DL-InfoV in a visually appealing manner.

Our legitimate interest in data processing arises from the purpose of offering an appealing online offer and fulfilling our information obligations in an appealing manner.
